Description/Job SummaryThe Travel Coordination Specialist directly supports the Scientific, Engineering, Technical, Support (SETS) contract Project Management Office (PMO). The $300M SETS contract provides professional technical support services to the Department of Energy’s (DOE) Office of Energy Efficiency and Renewable Energy (EERE). SETS employees 400 staff serving EERE’s clean energy mission and operations offices. The candidate will support the SETS PMO, and will work with SETS management, team leads, and employees to plan and track approximately 600 employee travel trips annually. Candidate will be the SETS travel expert and is responsible for ensuring trip expense reporting is accurate and well-documented to ensure timely and defensible invoicing of the client. Candidates must have five or more years of expertise operating Microsoft Excel in a professional organization and have in-depth knowledge of datasets, formulas, and Pivot Table functions. Candidates will assist in financial reports preparation and will apply bookkeeping and accounting principles using MS Excel and other software tools.
Position Responsibilities
- Travel Planning: Work with staff and management to ensure trips are identified and planned to meet Federal Travel Regulations and SETS contract requirements.
- Travel Funding: Ensure travel ceiling and obligation balances are current, that sufficient funding exists to pay for approved travel trips and provide real-time data to management and team leads to support travel planning.
- Travel Tracking: Track all trips, assist travelers with travel expense packages and documentation.
- Travel Invoicing: Ensure that all travel expense information is accurate, sufficiently documented, and ready for invoicing.
- Record Keeping: Maintain accurate and organized accounts payable records, both physical and electronic, for audit and reference purposes.
- Compliance: Ensure compliance with company policies and FTR and contract requirements
- Analysis and Reporting: Assess travel performance and prepare reports to enable and sustain a high performing, best in class travel capability for the SETS contract.
Minimum Qualifications, Skills, And Experience
- Bachelor’s degree in accounting, finance, or a related field preferred.
- 5+ years of post-graduate Excel experience in a professional occupation.
- Familiarity with Federal Travel Regulations preferred.
- Advanced Microsoft Excel skills, proficiency with Microsoft Teams, experience with Unanet preferred.
- Ability to synthesize data and generate operational outputs (e.g., invoices, purchase orders, performance graphs, etc.)
- Self-starter, and ability to work both independently and as part of a highly dynamic team.
- Ability to balance a high workload with tangible deadlines.
- Exceptional attention to detail and accuracy in data entry and financial record keeping.
- Strong organizational and time management skills to handle multiple tasks and meet deadlines.
- Excellent verbal and written communication skills for effective vendor and team interactions.
- Collaborative attitude and willingness to work closely with colleagues.
- Ability to identify issues and work with colleagues to develop and implement solutions.
